Position Summary
We are seeking a dynamic, tech-savvy professional to serve as administrative and operational support for Vanderwaal Bakery. This versatile role combines administrative excellence with hands-on business support, making it perfect for someone who thrives in a dynamic, growing environment. You'll work directly with ownership/management while interfacing with our entire team - from production bakers to customers to delivery drivers. This position offers significant growth potential for the right candidate who demonstrates adaptability, initiative, and commitment to our mission of serving exceptional, wholesome food.
Key Result Areas (KRAs)
1. Technology Management and Digital Excellence
What Success Looks Like:
- Demonstrate proficiency in Google Docs, Google Sheets, and other essential business software
- Quickly learn and adapt to new technology platforms and business tools - can figure out new tools independently
- Create and maintain digital documents, forms, and business systems
- Stay current with emerging technologies that could benefit business operations
2. Communication Excellence and Customer Relations
What Success Looks Like:
- Answer phones professionally and handle customer inquiries with courtesy and competence
- Craft professional, clear written communications via email and other platforms
- Serve as liaison between management, production team, customers, and delivery drivers
- Listen carefully, ask clarifying questions, and execute instructions accurately
- Resolve customer concerns promptly and maintain positive relationships
- Carry out routine marketing messaging including weekly order emails, social media posts, creating print materials with Canva or similar programs.
3. Operational Support and Problem-Solving
What Success Looks Like:
- Assist with order preparation and delivery readiness to ensure smooth operations
- Adapt quickly when priorities shift due to changing business demands
- Anticipate operational needs and proactively address potential issues
- Support production team with administrative tasks that enhance their efficiency
- Develop working knowledge of all business facets to provide comprehensive support
4. Executive Support and Independent Initiative
What Success Looks Like:
- Function as trusted assistant to management with high-level discretion and reliability
- Work independently to prioritize and complete tasks with minimal oversight
- Accept constructive feedback positively and implement improvements immediately
- Take initiative to streamline processes and identify growth opportunities
- Adapt to the evolving needs of a growing business with enthusiasm and competence
Required Qualifications
- Technology: Proficient in Google Docs and Sheets (very similar to Microsoft) with ability to learn new platforms quickly. Comfortable with technology platforms and can figure things out independently.
- Communication: Excellent verbal and written communication skills
- Adaptability: Comfortable working in fast-changing environment with shifting priorities
- Independence: Self-motivated with strong organizational and time management skills
- Professionalism: Courteous, discrete, and able to represent company values in all interactions
- Learning Agility: Open to feedback and eager to develop new skills
- Versatility: Willingness to support various aspects of business operations
Preferred Qualifications
- Previous administrative or executive assistant experience
- Customer service background
- Experience in small business or food industry environments
- Demonstrated ability to learn new software and technology quickly
- Project management or process improvement experience
- Light bookkeeping knowledge is a plus

Compensation and Benefits
- Hourly wage based on experience and skills (starts at $15 - $17/hour) DOE with opportunity for raises based on performance.
- Bi-monthly pay schedule (15th and 30th)
